PA Job Description

Tiger Recruitment has created this personal assistant job description template to assist clients in the hiring process. It is designed to be a generic outline so will need to be changed based on your unique requirements.

Key responsibilities:

  • Complex diary management, both business and personal, for the managing director and wider team
  • Creating detailed travel itineraries
  • Extensive and efficient email correspondence
  • Organising meetings, including booking venues, ordering refreshments and basic minute-taking
  • Overseeing the creation of contracts, client packs and other documents, including their formatting, printing, binding and distribution
  • Processing of expenses
  • Arranging social events for both clients and the team
  • Ad-hoc personal errands for the managing director
  • Management of miscellaneous issues
  • Readiness to be contacted out of office hours
  • Covering reception on occasion if necessary
  • Handling confidential matters with discretion
  • Extensive travel with the managing director to meetings and conferences, sometimes internationally
  • Clear and accurate typing up of all letters, memos, reports and similar documents from shorthand notes
  • Saving and archiving, where necessary, all documents in the company database
  • Occasional transcribing of dictation and voice memos
  • Implementing and maintaining an office filing system
  • First point of contact for all incoming calls and visits

Essential requirements:

  • Educated to A-Level standard or equivalent. A degree-level qualification would be advantageous, but is by no means essential
  • Demonstrable experience in a similar role and industry
  • Proven diary management skills
  • Exceptional standard of written and verbal English
  • Competent with Microsoft Office suite
  • Flexibility on hours
  • Graduate of secretarial college desirable, but not necessary
  • At least three years’ experience in a similar role
  • Polite telephone manner
