What does an administrator do?

The responsibilities of an administrator job depends completely on the business requirements. A junior administrator will generally be responsible for implementing and maintaining an efficient filing system; maintaining databases; acting as the first point of contact for external queries; organising meetings and performing errands.

As the role increases in seniority, the responsibilities become more complex, with the potential to take on management responsibilities and higher-level projects.

What qualities make a good administrator?

A successful administrator will be highly organised, efficient and proactive, constantly looking for ways to improve processes and procedures. They will be detail-orientated and possess exceptional communication skills.

They should also have exceptional interpersonal skills, be able to manage their workload efficiently and thrive within a busy office environment.

Entry-level administrator jobs

An administrative assistant job is a great place to start your administrative career. Whether as an office assistant or junior administrator, it is the perfect base on which to build your support skills, developing fantastic organisational skills and an exceptional attention to detail.

From there, you can move into a team administrator job. It involves providing administrative support to a particular team, covering everything from diary management to meeting co-ordination and collating documents.

A team administrator could be also responsible for creating and maintaining effective administrative systems and processes, acting as a first point of contact for internal and external stakeholders and maintaining all email correspondence on behalf of the team.

As such, a team administrator needs to build on their existing organisation and communication skills, while showing the initiative to take charge of projects and change processes. Just like any administration job, they would also need to have exceptional customer service skills.

Senior Administrator Jobs

A senior administrator is a much-valued member of an administration team, offering high-level support and liaising with key internal and external contacts. The responsibilities of a senior administrator will vary based on business needs but can include diary management, office management, overseeing projects and collating written materials such as reports, documents and minutes.

Senior administrators looking for a new challenge can look to move into an administration manager job as a next step.

An administration manager job is diverse and can change depending on the industry and particular business. That said, it is generally a senior position, as it requires the recruitment, training and management of administrative assistants and other junior administrative staff.

An administration manager is often the liaison between their team and senior management in other aspects of the business, acting as the voice for concern and congratulations. For this reason, someone looking for an administration manager job should have exceptional communication and organisation skills and be able to work well under pressure.

If you are an administrator looking to move into a managerial role, it is advised that you have at least 2-5 years’ experience.

Training Administrator Jobs

If you are looking to enter the HR space, then a training administrator job can be a great start. A training administrator is generally responsible for managing all learning and training initiatives within a business, inclusive of booking venues, organising speakers and attendees and any feedback afterwards.

If it is a larger organisation, a training administrator may also include designing the programme itself, capturing suggestions from staff members and if suitable, implementing these.

With these responsibilities in mind, a jobseeker looking for a training administrator job should be incredibly organised, a strong communicator, proactive and confident with programs such as the Microsoft Office suite. If you are a training administrator looking for your next challenge, you might consider stepping into an HR position.

Portfolio Administrator Jobs

A portfolio administrator job allows jobseekers to combine financial acumen with exceptional administrative skills, making it a fantastic next step for someone looking for their second role in the financial services. Generally, this type of role will require some type of portfolio management experience, or experience in financial services.

As a portfolio administrator, you will be required to support the partners of a financial firm, whether that be a family office or a private equity, venture capital or asset management firm.  You can expect to oversee elements of finance and compliance administration, including checking invoices, assisting the accountant, updating and creating deal sheets, and sharing deal sheets, share certificates and loan notes with other personnel in the company.

Once again, portfolio administration requires an exceptional attention to detail and strong organisational and communication skills.

How much does an administrator earn?

An administrator’s salary will depend on the scope of the role and level of seniority. For example, a junior administrator starting out in professional services may have a starting salary of £20,000-£28,000, while the upper bracket extends to £30,000 in financial services.

If you are looking to work in a creative or not-for-profit business as a junior administrator, you can expect to attract a salary between £18,000-£25,000. In a family office, this increases to £22,000-£26,000.

As a senior administrator working in professional or financial services, or in a family office, your salary can range from £25,000- £35,000. The upper bracket tends to drop in creative and not-for-profit roles, with a higher limit of £30,000.

What qualifications do I need to be an administrator?

There are no specific qualifications required to be an administrator. That said, a degree, or diploma in business administration would be looked upon favourably.
