Office Manager – Fluent Arabic or KSA National

The Office Manager (OM) will provide administrative oversight and support to the CEO. They will work closely with the CEO to ensure his time is being allocated properly, that his administrative support infrastructure is working smoothly, and that the CEO-focused PMO and CRM are maintained and properly updated.

The OM will be responsible for ensuring the CEO allocates his time efficiently and effectively. They will be responsible for refining and maintaining the CEO’s Time Management System and coordinating with all key stakeholders to ensure he is dedicating sufficient time and focus to various priorities. The OM will be the first point of call for those requesting time with the CEO and will liaise extensively with the Vice President, Strategy to ensure the CEO is properly prepared for different meetings and that the right activities are prioritized. They will be key in organizing and prioritizing the CEO to streamline day-to-day operations and communications.

The OM will also work to ensure that the CEO’s administrative support infrastructure is working smoothly. This will include coordinating the activities of his Senior EA in Riyadh, liaising extensively with global administrative support in the US and Europe, and coordinating extracurricular activities that the CEO participates in.

Lastly, the OM will be responsible for ensuring that key CEO priorities are being tracked and executed against. This will include working with the Vice President, Strategy to ensure all meeting details are logged, serving as custodian of the CRM and PMO systems for the CEO, and reminding the CEO and teams on key deadlines or deliverable expectations.

The OM will sit as a member of the CEO Office Team reporting to the CEO to ensure full alignment. They will work closely and extensively with the Vice President, Strategy and will manage the CEO’s Senior Executive Assistant.

•Manage CEO time allocation on a day-to-day basis
•Refine and maintain the Time Management System
•Coordinate with key organization stakeholders to ensure CEO dedicates sufficient time to various priorities
•Serve as the first point of call and gatekeeper for those looking to liaise with the CEO
•Coordinate with the Vice President, Strategy to ensure CEO is prepared for different meetings and key communications / message responses and drafted and sent
•Manage CEO administrative support infrastructure
•Manage Senior EA across scheduling
•Liaise and coordinate with global administrative support in the US, Europe
•Coordinate to ensure key extracurricular activities the CEO participates in, primarily equestrian ones, are managed in conjunction with the relevant counterparties
•Maintain CRM and CEO-focused PMO
•Ensure all meeting details are properly logged
•Serve as custodian for the firm and CEO CRM and PMO systems
•Maintain and update CEO strategic relationship database
•Keep CEO briefed on key deadlines and deliverable expectations of team, work with CEO to ensure team can meet those expectations Skills/Competencies

•Critical thinker with sound business judgement and ability to take a commercial view from an economic and business perspective
•Excellent project management skills with the ability to oversee the advancement of multiple high-priority initiatives of varying timelines, with minimal direction
•Strong writing, presentation, and communication skills
•A strategic and analytical thinker who can present data and recommendations clearly and concisely
•Detail-oriented, organized and driven by efficiency
•Confident, open-minded, and eager to grow in the role alongside the CEO
•Strong problem-solving skills with a solutions-driven mindset
•Drives and demonstrates the Safanad Values and plays a key role in embedding Firm culture
•Bilingual English and Arabic required Required Education/Experience

•Top Tier University graduate
•8+ years of relevant experience in CEO Office management, executive support, operations, strategy
