WHAT IS AN EXECUTIVE ASSISTANT?

Someone in an executive assistant job will provide high-level support to a senior individual or group of executives. An executive assistant’s job responsibilities will almost always include diary management, travel booking, scheduling meetings, inbox management and gatekeeping – occasionally they will also offer private support as well.

Many in EA careers have also evolved into advisory positions, with a senior executive administrative assistant often required to input on strategy and advice, lead projects and represent their principal at meetings.

Depending on the size of the company, many EAs assist different divisions and help with marketing support, events, finance and operations as well.

The EA job, particularly at a C-Suite or board level, can be multi-faceted, challenging and a viable pathway for those looking to move into senior management positions.

What skills should an executive assistant have?

Someone looking for an executive assistant job should already have worked as a PA or EA in some capacity. They’ll be flexible, extremely organised and have exceptional written and verbal communication skills. A great executive administrative assistant will also possess fantastic problem-solving skills, work well in a team and approach every task with a positive outlook.

Because of their level of seniority, a C-Suite EA or board-level EA should also be commercially astute, with strong business acumen and an ability to act proactively. As with any support role, discretion is of the utmost importance.

It is vitally important that you possess excellent communication and language skills. In general, an EA role will need fluency in both the local Swiss language — German, French or Italian — as well as English. Additional Swiss or other languages, at an intermediate level, can be a distinct advantage.

On the technical side, an executive administrative assistant should also possess advanced knowledge of Microsoft Office and be comfortable with the latest communications software like Zoom, Slack and Google Suite.
