Administration Assistant - 12 Month contract

We are searching for a highly motivated Administraion Assistant with 3 - 5 years' experience to support all levels (including MD) within Asset Management with in a leading Financial institute in Zurich.

Previous experience in supporting senior executives and managing complex calendars is preferred as well as the ability to work well under pressure in a busy and dynamic environment.
Duties

Proactive diary management for client facing team Arranging travel; organizing and providing complex travel logistics support Liaising with internal and external stakeholders to organize client meetings and full trip agendas Processing expenses and invoices in a timely manner Arranging internal and client meetings - booking of conference rooms and catering, registering guests, ensuring materials organized Adhering to Compliance regulations and gaining the relevant approvals General office admin including photocopying, printing, phone answering Act as an integral member of the team; maintaining a high level of awareness of current priorities and support required Regularly facilitate knowledge sharing within the team and ensure relevant information is disseminated accordingly Involved in client event organization

Skills & Experience required

  • Prior experience as an Administration Assistant Solid organizational skills
  • Ability to multi-task and prioritize effectively Strong attention to detail Excellent interpersonal skills and teamwork; ability and willingness to work collaboratively amongst assistant team based both locally and globally.
  • Ability to communicate clearly, concisely and confidently Proactivity
  • Ability to take initiative, follow up where necessary without prompting and seek clarification when needed Strong work ethic with a positive attitude and growth mindset Ability to work well under pressure and stay professional in a busy environment Discretion –
  • Ability to handle sensitive matters confidentially at all times Microsoft Office skills (Outlook, Word, Excel) 
  • German and English ( at least B2 level)

For this role we can only accept Swiss or European Nationals, or Swiss work Permit holdsers.
