Team Assistant – Property

London (West End) SALARY: £30,000 - £35,000 PER: Annum TERM: Contract

This is a great opportunity for someone looking to join a global property company, supporting teams in their London offices. This is a 12-month contract, based in their office in Southwark, paying up to £35k DOE.  The core hours are 9am-5.30pm and they offer hybrid working.

You will work as part of the admin team, providing a first-class administration service. You will manage a busy workload and be able to communicate effectively with key stakeholders, surveyors and fellow team secretaries to ensure all work is completed on time and communicated back to the relevant teams as necessary. This role would suit a real team player who is happy to help out and really get ‘stuck in’ no matter how menial the task is. Previous experience working in the property industry is ideal.

What you’ll do:

  • Typing of standard and nonstandard correspondence including but not exclusively: building survey reports, standard certificates, schedules of condition, schedules of dilapidation, client letters and minutes
  • Audio typing
  • Copy typing of letters and documents
  • Formatting/checking documents, ensuring they are correctly laid out and comply with the correct style
  • Collating invoices for different projects
  • Answering the telephone, taking messages and ensuring they are dealt with in a timely fashion
  • Diary management
  • Contact clients, contractors and suppliers
  • Download photographs from digital cameras, scanning photographs and external parties' documents and incorporating into company documents and correspondence
  • Scanning/printing documents
  • Travel arrangement
  • Managing internal database to maintain accurate contact and other relevant information
  • Any ad hoc duties as and when required
  • Provide support to other Team Secretaries / Business Support Manager during busy times

Who you are:

  • Administrative experience, preferably within the property industry
  • Good organisational and communication skills
  • Team player, with a muck in attitude
  • Microsoft Office skills
  • Proven ability to manage demanding workloads
  • Proactive approach to work
  • Ability to be flexible and adaptable to the needs of the business
  • Knowledge of Building Surveying/Project Management/Quantity Surveying terminology (desirable)
