Team Assistant

London (West End) SALARY: £30,000 - £35,000 PER: Annum TERM: Permanent

My client, a globally recognised investment bank is actively recruiting for a proactive Team Assistant to join their impresisve team. This role would suit a self-motivated individual who thrives working in a fast-paced working environment, is super organised and possesses excellent attention to detail in providing a high level administrative support function. Previous financial sector experience is essential.


Your Role Will Involve

  • Extensive diary management and co-ordination of internal and external meetings (both virtually and in-person) across multiple time zones
  • Booking complex international travel, including flights, hotels, cars, visas and meet & greet services where required
  • Management of expense reimbursement and accounts reconciliation using WorkDay
  • Monitoring and ordering company and client literature, and when required couriering to local destinations
  • Overseeing the team’s compliance reporting; downloading reports from the CRM platform, maintaining spreadsheets, and logging relevant activities on the internal compliance system
  • Organising client events and corporate hospitality in the UK and Europe
  • When required, assisting with the logistics and travel itineraries for client roadshows
  • Assisting with the production and organising the distribution of the team’s annual publication; monitoring quantities, managing team lists and mail-merging
  • Project administration: creating and maintaining group lists, project filing and archiving
  • Telephone coverage taking comprehensive messages and screening calls where applicable
  • Ad hoc administrative duties and team projects

  • Desire to learn about the organisation and team
  • Ability to exercise sound judgement in assessing and determining how to handle queries, calls and issues
  • Willingness to work in a close-knit team, assisting and supporting the other assistants when needed
  • Quick learner, ability to multi-task and use own initiative, self-motivated
  • IT skills: Advanced Word, Excel, Outlook and Powerpoint
