Team Administrative Assistant

US SALARY: $70,000 - $90,000 PER: Annum TERM: Permanent
Our client, a global independent investment banking advisory firm headquartered in New York, is currently hiring for two team administrative assistants to join their private funds group. They are a super high performing team, who provide a welcoming and collaborative environment. This is a brilliant opportunity for someone who has some administrative experience from within the financial services industry, and wants to take that next step up in their career.
Duties:
- Provide administrative support to all members of the team
- Extensive calendar management; liaising with internal and external parties on various projects and tasks, including complex scheduling requests
- Maintain the CRM database notes
- Monthly reconciliation of expenses
- Take responsibility for booking travel (domestic and international) for team members
- Writing and editing emails/preparing communications on the team’s behalf
- Organize and plan client events, including cocktail parties, happy hours, dinners, and lunches
The candidate:
- Minimum 3 years’ experience in an administrative role
- Good understanding of technology including Microsoft Office Suite, Teams and Zoom, along with a aptitude to learn new software and systems
- Excellent written and verbal communication skills
- Strong problem-solving and time management skills
- Flexible team player, along with an a high level of initiative and self motivation.
- Strong time-management skills and the ability to organize and coordinate multiple projects at once
