Hamburg (Germany) SALARY: €55,000 - €74,000 PER: Annum TERM: Permanent

Tiger Recruitment is delighted to be working with an international provider of market-leading insurance services based in Hamburg. The aim of this role is to provide proactive, flexible and professional PA support to the Managing Director, Chief Underwriting Officer.

Duties & Responsibilities

  • General secretarial duties including dealing with post, typing, filing, photocopying, scanning, telephone calls, appointments and messaging. Use of Word, Excel, PowerPoint, Outlook, CRM, Expense System and Diligent as required.
  • Management of Senior management calendars.
  • Oversight and administration of Chief Underwriting Officer’s email.
  • Point of contact (liaison) for Underwriting Department relating to Chief Underwriting Officer
  • Extensive and often complicated diary management (inclusion of all regular Board & Committee meetings)
  • Support and oversight for the Compliance & Risk function including the production of related documentation.
  • Assist with the timely preparation of agendas/minutes/actions for weekly schedule, internal and Board/Committee meetings and follow up as required.
  • Printing and putting into clear order the agenda papers prior Committee Meetings.
  • Obtaining signatures for budgetary and other financial documentation.
  • Support and oversight of projects and initiatives (events, seminars, and conferences), as required.
  • Coordination of all travel commitments and processing of all travel authorisations and expense reports, including itinerary preparation.
  • Working with a variety of internal and external visitors and clients and acting as a gatekeeper, as appropriate.

Additional HR responsibilities

  • Payroll administration; uploading monthly changes and general payroll liaison.
  • Management of team holiday calendar
  • Administration of benefits
  • Management of staff onboarding / offboarding procedures
  • Launching and monitoring of new joiner background checks
  • Liaising with IT for new joiners and leaver access.
  • Other duties as and when required.

Profile

  • 5 – 8 year of experience as Personal Assistant
  • Strong IT skills
  • Excellent team-working and collaboration skills
  • High level of written and oral communication skills
  • Pro-active and able to use own initiative
  • Flexible and committed individual
  • Fluency in English and German (both written and spoken)
