Office Manager – Family Office

Overview

We have an excellent opportunity for an experienced Office Manager to join a Family Office based in Baden, AG. The role will support a small family office in areas including Real Estate management and Corporate Services together with broader general administrative tasks.

This role has an 80-100% workload with the potential to work from home and is based in Baden, AG

Main responsibilities

  • General Administrative tasks including filing of documents, Payment of general invoices (preparation and filing), Collection of signatures etc
  • Coordination of support for IT and Telecom issues, and other administrative issues
  • Real Estate management including controlling finances such as arrangement of payments (utility bills, construction company, refurbishments etc.)
  • Coordination of service providers (cleaning company, construction company, electrician, management company, architects etc.)
  • Coordination and preparation of meetings (board of directors, shareholders) and legal documents (minutes, commercial register)
  • Filing of corporate documents - minutes, commercial register, insurance documents
  • Preparation of documents for the completion of tax declarations
  • Analysis and negotiation of premiums of insurances
  • Coordination of legal advisers
  • Support for the managing director with various corporate, financial, strategic, and process management issues (e.g. excel analysis, comparison of legal docs, review of drafts)
  • Requests of principals (e.g. car repair, art acquisition, planning of trips or meetings)

 
Your skills:

  • A minimum of 5 years of experience gained in a similar role within a Family Office environment
  • Fluency in English is a must, German, Dutch or Spanish would be beneficial
  • High level of commitment, discretion and confidentiality
  • Able to use you Initiative and anticipation of needs
  • Attention to detail and problem-solving skills
