A pharmaceutical company are looking for a Facilities Manager to manage their office in London and reception area. You will be involved immediately with planning for the office to be able to return for July 2021.

WHAT YOU’LL DO

This is a busy Facilities and Office Management role with lots of variety, so you’ll be the kind of person who is adaptable, able to take ownership of projects and enjoy working across a multitude of areas within the facilities and office management role! Typical duties include:

  • Building Maintenance including cleaning contracts, business licenses, insurances, contractors etc
  • Leading the relationship with the building management and acting as the POC for everything communal and building-related.
  • Taking ownership of Health and Safety / Fire Safety:
  • Leading the Building Planning
  • Involved with the Business Continuity plan to ensure the workforce and remain active if circumstances change again.
  • Meeting room preparation and catering.
  • Travel Bookings and hospitality booking for guests and other team members.
  • Organising couriers and post.
  • Stocktaking and purchases

WHO YOU ARE

To be successful, you will have two-three years’ experience in a similar PA role, be an efficient problem solver and be able to deal with multiple requests at any given time.

Essential requirements:

  • Managing an office and reception desk within an SME environment (ideally 75-100 people)
  • Managing outsourced facilities contracts such as cleaning, building maintenance
  • Responsibility for H&S and fire safety in an office environment
  • Exposure to DSE workstation assessments face to face (ideally virtually as well)
  • Able to recommend adaptations and ergonomic equipment to improve employee workstation setups
  • Switchboard/telephone calls, reception, dealing with visitors as well as general administration

Desired requirements:

  • A university degree
