Executive Assistant with Bookkeeping- Must be in the UAE

Dubai, UAE SALARY: 10,000 AED - 10,000 AED PER: Month TERM: Permanent

We are seeking a proactive and detail-oriented Executive Assistant with strong bookkeeping skills to provide high-level administrative support to senior executives. The ideal candidate will have excellent organizational abilities, the capacity to handle multiple tasks efficiently, and the ability to maintain confidentiality. This role requires a dynamic professional who can seamlessly manage executive schedules, coordinate projects, and ensure accurate financial records.
Key Responsibilities:

  1. Executive Support:
    • Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and handling travel arrangements.
    • Prepare and edit correspondence, reports, presentations, and other documents as needed.
    • Act as a point of contact between executives, clients, and external stakeholders, managing communication and ensuring timely responses.
    • Assist in the preparation and coordination of executive meetings, including taking minutes and following up on action items.
    • Handle sensitive and confidential information with discretion.
  2. Bookkeeping and Financial Support:
    • Maintain accurate financial records, including accounts payable, accounts receivable, expense tracking, and bank reconciliations.
    • Assist in preparing financial statements, reports, and budgets.
    • Process invoices, manage vendor payments, and handle payroll tasks as needed.
    • Coordinate with the finance team to ensure compliance with company policies and UAE regulations.
  3. Office Management:
    • Oversee office supplies inventory and place orders as needed.
    • Assist in organizing company events, meetings, and conferences.
    • Ensure the office environment is maintained in a professional and efficient manner.
    • Liaise with vendors, service providers, and office building management as required.
  4. Project Coordination:
    • Assist in the planning, execution, and monitoring of various projects, ensuring deadlines are met and deliverables are completed.
    • Collaborate with different departments to support the successful completion of tasks and projects.
    • Manage ad-hoc tasks and special projects as assigned by senior executives.

Qualifications and Skills:

  • Bachelor's degree in Business Administration, Accounting, or a related field preferred.
  • Minimum of 3-5 years of experience as an Executive Assistant, with proven bookkeeping experience.
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and bookkeeping software (e.g., QuickBooks, Xero).
  • Excellent organizational and multitasking skills with the ability to prioritize tasks effectively.
  • Strong attention to detail and problem-solving skills.
  • Exceptional communication skills (both verbal and written).
  • Ability to work independently and handle multiple projects simultaneously.
  • Knowledge of UAE labor laws and financial regulations is a plus.
