We are seeking a proactive and detail-oriented Executive Assistant with strong bookkeeping skills to provide high-level administrative support to senior executives. The ideal candidate will have excellent organizational abilities, the capacity to handle multiple tasks efficiently, and the ability to maintain confidentiality. This role requires a dynamic professional who can seamlessly manage executive schedules, coordinate projects, and ensure accurate financial records.
Key Responsibilities:
- Executive Support:
- Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and handling travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents as needed.
- Act as a point of contact between executives, clients, and external stakeholders, managing communication and ensuring timely responses.
- Assist in the preparation and coordination of executive meetings, including taking minutes and following up on action items.
- Handle sensitive and confidential information with discretion.
- Bookkeeping and Financial Support:
- Maintain accurate financial records, including accounts payable, accounts receivable, expense tracking, and bank reconciliations.
- Assist in preparing financial statements, reports, and budgets.
- Process invoices, manage vendor payments, and handle payroll tasks as needed.
- Coordinate with the finance team to ensure compliance with company policies and UAE regulations.
- Office Management:
- Oversee office supplies inventory and place orders as needed.
- Assist in organizing company events, meetings, and conferences.
- Ensure the office environment is maintained in a professional and efficient manner.
- Liaise with vendors, service providers, and office building management as required.
- Project Coordination:
- Assist in the planning, execution, and monitoring of various projects, ensuring deadlines are met and deliverables are completed.
- Collaborate with different departments to support the successful completion of tasks and projects.
- Manage ad-hoc tasks and special projects as assigned by senior executives.
Qualifications and Skills:
- Bachelor's degree in Business Administration, Accounting, or a related field preferred.
- Minimum of 3-5 years of experience as an Executive Assistant, with proven bookkeeping experience.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and bookkeeping software (e.g., QuickBooks, Xero).
- Excellent organizational and multitasking skills with the ability to prioritize tasks effectively.
- Strong attention to detail and problem-solving skills.
- Exceptional communication skills (both verbal and written).
- Ability to work independently and handle multiple projects simultaneously.
- Knowledge of UAE labor laws and financial regulations is a plus.
