New York City, NY SALARY: $55,000 - $65,000 PER: Annum TERM: Permanent

Our client a NYC real estate firm based in Midtown Manhattan is looking for an outstanding Executive Assistant / Operations Coordinator to join their team. This is a great opportunity as they are family-run and there will be room for growth as you experience all different areas of the business. You will also gain great exposure to the real estate industry. This role is fully in office M-F.

The Role
As the Executive Assistant / Operations Coordinator you would be supporting the President / CEO and the Vice President. This is a great role for someone who loves organization as you would be coordinating their schedules and the company’s office, making sure that everything runs smoothly on a day-to-day basis. You will act as gatekeeper for the executives as well as working closely with the other administrative assistants in managing / organizing accounts receivables and accounts payables, and their Administrative Assistant for lease activities which will include renewals, billing questions and insurance management.

Duties Include

  • Opening of the office
  • Welcoming guests
  • Phone monitoring
  • Administrative support
  • Heavy calendar management for executive leadership
  • Scheduling of appointments
  • Overlooking expense reports and paying bills
  • Office management – will include purchasing of equipment and restocking supplies
  • Maintaining records
  • Coordination of travel arrangements from time to time
  • Organizing documents
  • Supporting Controller as needed with administrative duties, including filing, scanning documents and mailing checks
  • Attending meetings as needed, including taking notes and sending summaries
  • Assistance on projects as needed
  • Acting as gate keeper

Candidate
This role would be great for someone with excellent communication skills who is able to manage their time well and knows when to prioritize without guidance. They are looking for someone who is able to jump in feet first! Experience with QuickBooks is a bonus.
