Executive Assistant – Investment Banking

London (Docklands) SALARY: £24 - £27 PER: Hour

A global investment banking firm are looking for an experienced Executive Assistant to join their Private Credit and Equity team. The assignment is proposed for at least 12 months. You will be responsible for a team of 6+ with professional administration and secretarial support. The ideal candidate will have a proactive ‘can do’ approach and the ability to use their own initiative and judgement. I am looking for someone who is a strong team player and has the ability to remain calm under pressure. This is a fantastic opportunity to work with such a renowned company.

What you’ll do:
• Extensive answering and screening of managers' calls and e-mails when absent or busy
• Exclusive control of business schedule
• Maintain calendars, act as ‘gatekeeper’ for diary
• Arrange internal and external meetings, video and phone calls
• Proactively book and co-ordinate all travel including flights, hotels, visas and ground transportation within the Firmwide Expense Policy
• Ensure relevant agendas and itineraries are organised in advance
• Process monthly expenses in a timely manner
• Event management, such as client entertainment, closing events, offsites/onsites, social/team events, ensuring event costs are pre-approved
• Any other ad hoc tasks or projects, such as printing, filing, ordering business cards, presentation mark-ups, assisting with recruiting processes
• Managing the office space and liaising with onsite building managers when required
• Greeting clients upon their arrival and preparing documents for any internal / external meetings

What you’ll need:
• Excellent time/priority management skills, flexibility
• Strong team player/buddy to other assistants in team
• Ownership of all tasks, following up outstanding items without the need for chasing
• Highly organized, capable of multi-tasking to meet deadlines
• Attention to detail
• Discreet, professional manner - maintain confidentiality on all aspects of workload
• Experience processing expenses online (e.g. on Concur)
• Experience booking travel via an online booking tool
• Experience working in Private Markets, Asset Management, and/or Investment Banking preferred
• Office management experience preferably but not essential
