Job Overview:
We are seeking a highly organized and proactive Executive Assistant to support senior management in Abu Dhabi. The ideal candidate will possess excellent communication skills, be capable of handling a wide range of administrative and executive support-related tasks, and must be able to work independently with little or no supervision. This role requires a detail-oriented individual who is comfortable with managing the busy schedules and complex tasks associated with a high-level executive role.
Key Responsibilities:
- Calendar Management: Coordinate and manage the executive’s schedule, ensuring meetings, appointments, and travel plans are effectively organized.
- Travel Arrangements: Plan and book domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Communication: Act as the primary point of contact between the executive and internal/external stakeholders, handling correspondence, emails, and phone calls professionally and efficiently.
- Meeting Coordination: Organize and prepare for meetings, including drafting agendas, taking minutes, and following up on action items.
- Document Preparation: Prepare, proofread, and edit reports, presentations, and other documents as needed.
- Project Management: Assist with special projects, ensuring that all tasks are completed on time and within scope.
- Confidentiality: Handle sensitive information with the utmost confidentiality and discretion.
- Office Management: Ensure the executive’s office operates smoothly by managing supplies, coordinating with vendors, and maintaining an organized workspace.
- Event Planning: Assist in organizing company events, meetings, and conferences, ensuring all logistics are handled efficiently.
Qualifications:
- Education: Bachelor’s degree in Business Administration, Management, or a related field is required.
- Experience: A minimum of 3-5 years of experience in an Executive Assistant role, preferably supporting C-level executives.
- Skills:
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work under pressure and handle multiple tasks simultaneously.
- High level of professionalism and discretion.
