US (New York City, NY) SALARY: $100,000 - $130,000 PER: Annum TERM: Permanent
Our client, an investment service firm who are focused on enhancing middle market businesses, are looking for an Executive Assistant to join their team and assist their Head of Business Development. They are a global firm but this role is based in their New York office (in Midtown Manhattan) and is a full-time in office position working Monday through Friday 9am-6pm. Outside of these working hours you will have plenty of support from other EA’s based across different time zones, which speaks to their positive working culture!
As the Executive Assistant you would be supporting the Head of Business Development 1:1 in a very collaborative way, while also being a part of the Executive Assistant team. The Head of Business Development is engaging and approachable and this is a great opportunity for some who enjoys working in a team setting but is also an independent worker.
Handle travel; scheduling flights and accommodations
Communication management when needed; emails, telephones, Zoom/Teams
Responding to inquiries in a timely and friendly manner
Adding contacts and meeting notes to Deal Cloud
Undertake and monitor research to provide highly needed support for the Business Development team
Develop operational contacts
Contribute to the management of the organizations systems to ensure everything is done accurately
Assist the sales agents of the organization to complete clients visit reports and system development
Assist the manager to make inquires on small projects and to handle them from start to finish
The role is best fit for someone who has 5+ years of experience in an Office Manager / Executive Assistant role, and holds a Bachelor’s degree. You will be thoughtful in following in the footsteps of the Executive, ensuring contingency plans are in place at all times. They are looking for someone who has a proficiency in Microsoft applications, Adobe Professional, Outlook and web-based applications. An expertise in using meeting technology which would include audiovisual equipment, industry software and web/video conferencing. You must also have a professional presence with a positive attitude and exceptional client services skills as well as the ability to build a professional and respectful working relationship at all levels internally and externally. Strong decision making, critical thinking, problem solving and time management, organizational/analytical skills are also important.
