US (New York City, NY) SALARY: $120,000 - $150,000 PER: Annum TERM: Permanent

EA Role/Responsibilities

Well-established late-stage venture capital firm who are invested in some of the most well-known companies in tech are currently seeking an Executive Assistant to support the daily work lives of their two Partners in New York, and the daily function of their New York office.  They have around 20 employees split between New York and San Francisco and offer a collaborative and high-performing culture.

Executive Assistant duties (c. 80%):

  • Inbox management for 2 Partners, ensuring all emails are responded to by the end of each day
  • Calendar management including scheduling and confirming meetings and calls for Partners, upcoming Board meetings, and due diligence/reference calls
  • Organize weekly calendar sync with Partners
  • Assistance with both pre-meeting prep/briefings and post-meeting follow ups/action items
  • Uploading information onto company CRM
  • Travel management including booking domestic and international flights, ground transportation, lodging, and restaurant reservations
  • Preparation of detailed itineraries for all trips
  • Financial administration including expense reporting and preparing reimbursement requests for portfolio companies; keeping track of all receipts
  • Support for Board meetings (external, in various US locations) including corresponding with portfolio companies regarding scheduling, dial-in numbers, file Board packages
  • Event support for annual meeting, all hands, holiday party and other workshops and dinners
  • Ad-hoc support to other Partners/CFO

Office Manager duties (c. 20%):

  • Greet any guests, vendors, UPS/FedEx; act as the main point of contact for the Property Manager and facilities/maintenance team
  • Set up of conference rooms, assist with projector/Wi-Fi connections
  • Place/pickup orders for lunch meetings at the office
  • Stock kitchen/refrigerator, load/unload dishwasher
  • Order office supplies and groceries

Candidate Profile:
5-8+ years support experience as an EA
Extremely well-organized with a high attention to detail
Ability to multitask, incredibly responsive with good follow-up/follow-through skills and a no-task too small attitude
Take initiative and ownership
Team player
