Near Liverpool Street
12-month FTC, with potential to become permanent
Up to £55k + gym access
ASAP start but happy to wait a 4 week notice period if needed 

I am currently working with an exciting startup, who are looking for an EA to their Managing Director. They have been established just under 5 years, invest in the legal and professional service sectors and have big plans for the future!

The MD is described as down to earth, hardworking, very efficient with his work and someone who values his EA and is keen to build a good working relationship. They work to a hybrid model of 3 days in the office and 2 days from home, with their standard hours being 9 am – 6 pm, but they can offer flexibility around this, as long as the hours are completed.

Due to the startup nature of the company/role, it’s really important to them that the EA they take on is happy to help with a variety of tasks, is open to suggesting improvements to processes / procedures and is happy to take on projects as and when needed.

WHAT YOU’LL DO;

  • Day-to-day management of the MD’s diary including:
    • Liaising with clients to arrange meetings
    • Researching, recommending and booking appropriate venues for meetings with clients (whether office based or at cafes, bars or restaurants)
    • Ensuring attendees have all the required information ahead of meetings including directions, location and what to do when they arrive
  •  Administration of expense records including:
    • Collection and filing of hard copy receipts
    • Recording expenses information on to the electronic expenses system and cross-referencing to ensure all expenses information has been captured accurately
    • Preparation of a monthly expenses report for sign-off by the finance team
  • Managing itineraries for international business travel and events including:
    • Identifying and recommending appropriate flights, hotels and arranging other travel logistics as appropriate
    • Booking flights, taxi transfers, hotels and ensuring all information is accurately recorded in diaries
    • Preparing travel itineraries and updating diaries with key travel and meeting information 
    • Carrying out research to identify relevant events for the team to attend
    • Registering attendance at events and requesting delegate information to identify key target individuals
  • Contact management including:
    • Updating the CRM system (HubSpot) with details of contacts, meetings and other interactions with clients
    • Adding relevant notes provided by the team into the CRM
    • Adding names and contact details of key contacts into the CRM system
    • Attending meetings and taking notes to file on the system
    • Typing dictation relating to leads to share with the diligence team on cases
  • Electronic filing including:
    • Filing documents and emails electronically in the relevant files in SharePoint
    • Other general e-filing and administration

WHO YOU ARE;

  • Experience of working within financial services or for a legal team
  • Experience of working directly with senior managers and their teams in a busy and high-pressure role
  • Advanced IT skills and familiarity with Microsoft Office including Word and Excel
  • Excellent organisation skills and be able to manage time effectively
  • A proactive and professional approach to work and conduct in the office 
  • Ability to work quickly and efficiently and under pressure whilst maintaining work quality and accuracy
  • Ability to work on own initiative and as part of the wider team
  • Excellent written communication skills with the ability to adapt tone and content depending on the audience 
  • Able to adopt a common-sense approach with close attention to detail, especially involving large amounts of information 
  • Ability to take ownership of tasks and progress on own initiative
