Business Support Specialist – Dubai

Middle East SALARY: 25,000 AED - 30,000 AED PER: Month TERM: Permanent

Purpose of Position
Provide a wide range of general administrative, specialized project-specific and strategic support to Leadership and Management Consultants as needed. The BSS will have an excellent understanding of core business support functions and provide support and strategic direction; specifically, within three specialization areas: Executive Assistants, RFP management and Practice specific support.
All processes and support will be carried out in accordance with best practices and in line with other offices in the region. The BSS is expected to maintain a working knowledge of the Firm and its industry and service practices, as well as other business units.

Primary Functions and Responsibilities:
Specialization A | Executive Assistants

• Foster good relationships and constant communication to ensure a good understanding of requirements of the Leadership team; understanding the key areas on which they need to be supported and building ways in which the EA’s can consistently add value
• Professionally and effectively manage any escalations that might arise from the EA or Leadership team with the aim of immediately resolving any issues, set realistic expectations and implement preventative measures/introduce improvements where relevant
• Maintain strong communication with the EA and Leadership teams
• Assess EA strengths. Identify areas of development and develop training programs accordingly
• Utilize technology to implement more efficient processes
Specialization B | RFP Management
• Maintain a clear procedure of the full RFP process from receiving the RFP through to response and delivery ensuring timely and high-quality submissions
• Coordinate roles/scope clearly amongst all responsible parties (EA’s, Reception, Office Services)
• Maintain a database of all RFP’s submitted and any responses
• Ensure a clear and comprehensive data repository
• Reporting of RFP’s status and monthly summaries, using Teams folders and other software
• Work with other Office Services Teams to ensure content and physical delivery are well organized

Specialization C | Practice Specific Support

• Encourage and expand practice area exposure (internally and externally)
• Remain in regular and close communication with Practice Leaders and teams, identifying key stakeholders
• Understand and develop a minimum level of services/outputs for each Practice, aligning amongst them wherever possible
• Research and stay up to date with all practice-specific development (internal & external)
• Maintain a practice are Facebook, keeping in mind also alumni
• Plan and project events/training/talks/other calendar for all practices. Maintain a central repository for each Practice
• Liaise and align with other offices (regionally and globally)
• Strategic thinking required to properly plan for the long-term support of growing practices

Additional Functions and Responsibilities

People Management:
• Support the following teams as people manager:
o Executive Assistants (EA): Line Manager of one or more EA Team Leaders; providing regular reviews, coaching and support directly or through initiatives/training. Look to enhance EA skill set
o Possibly other Office services teams
• Review and implement regular reports where useful and/or add value
• In time, the RFP management and Practice-specific support personnel will grow. These roles too will report to the BSS.

General Adminstrative

• From time to time may be requested to perform job-related tasks other than those specifically presented in this description
• Provide coverage, assistance, and back-up for others where relevant
• Attend and participate in administrative, practice-area, office-specific meetings and other office-wide meetings & events
Communication Skills
• Strong English skills, both oral and written. Arabic advantageous

Technical Skills

• Exceptional administrative, organizational and multi-tasking skills
• Develop/deliver trainings where appropriate. Always looking to upskill self and teams
• Strong interpersonal skills, service-oriented and team player; display positive “can-do” attitude
• Handle sensitive information with high level of confidentiality and discretion. Strict adherence to confidentiality policies and protection of Firm and private property
• Flexible, interested in learning, able to grow with the role if/when appropriate
• Troubleshooting skills; ability to use good judgement to identify problems and provide appropriate solutions
• Independent decision making, detail-oriented and works well under pressure

− University degree educated

Previous Experience
• Professional Services experience
• People Manager experience (at least 5 years)
• Experience and deep understanding of business processes and corporate environment and internal services

Successful candidateq must have experience of being an EA Team Lead or have experience managing a team of EA's and/or Administrators.
